CHARACTERISTICS OF THE CLASS:
Under the general supervision of the human resources director, performs varied clerical work to support the administrative functions of the HR section with primary duties supporting background investigations.

ESSENTIAL JOB FUNCTIONS:
  • Receives and routes telephone calls and messages.
  • Composes correspondence, reports and other materials.
  • Schedules meetings and appointments.
  • Sorts and distributes mail.
  • Greets and assists visitors in the section.
  • Gathers and prepares records for information requests.
  • Enters invoice into Munis for payment.
  • Responds to employment verification requests for current or former employees.
  • Assists in the facilitation of interviews for the agency.
  • Creates and issues ID badges.
  • Assists in the background investigation process by researching, requesting, collecting, and organizing information to complete a candidate’s profile. Assists in construction of Final Reports as required.
  • Coordinates various activities related to candidate processing such as fingerprinting, CVSA, requests for employment verification, residency verification, personal and professional references, credit reporting, and other checks and verifications, as appropriate for the position.

QUALIFICATIONS:
A.   Training and Experience
  • Required: High School Diploma, GED or equivalent supplemented by two years of practical experience in general administrative clerical work. Ability to communicate clearly, in English, both orally and in written form.
  • Preferred: Experience in a mid-sized governmental organization. Experience in a law enforcement agency. Certification in administrative clerical field.
B.   Knowledge, Skills and Abilities
  • Knowledge of business English, spelling, punctuation and grammar in the preparation of correspondence and reporting.
  • Knowledge of general office equipment uses to include multi-line telephones, e-faxing, scanning and archiving, copying and printing, etc.
  • Skilled in telephone etiquette.
  • Skilled in constructing basic business correspondence.
  • Skilled in scheduling and coordinating in multi-user calendars.
  • Ability to multi-task in a fast-paced, deadline driven environment.
  • Ability to receive and act on direction and guidance both verbally and in writing.
  • Ability to organize and maintain large quantities of information on multiple subjects simultaneously.

ESSENTIAL PHYSICAL SKILLS:
  • Ability to communicate orally and in writing.
  • Ability to sit or stand for long periods of time. 
  • Acceptable eyesight (with or without correction). 
  • Acceptable hearing (with or without hearing aid). 
  • All other abilities listed throughout this description.
